At Chhajed.ai LLC ("we," "us," or "our"), we are committed to delivering high-quality AI solutions and services to our clients. This Refund Policy outlines the terms and conditions under which refunds may be issued for our products and services.

By purchasing our services or products, you acknowledge and agree to this Refund Policy. Please read this policy carefully before making a purchase. If you have any questions, please contact us before completing your transaction.

2. Types of Services

Our refund policy varies depending on the type of service or product purchased:

2.1 Custom AI Development Projects

Custom AI development projects are typically contracted on a milestone basis. Refunds for these projects are governed by the specific terms outlined in your service agreement or statement of work (SOW).

2.2 Consulting Services

Consulting services are billed hourly or on a fixed-fee basis. These services are generally non-refundable once rendered, unless otherwise specified in your service agreement.

2.3 SaaS Products and Subscriptions

Software-as-a-Service (SaaS) products and subscription services may be eligible for refunds under certain conditions, as outlined in Section 3 below.

2.4 Training and Workshops

Training sessions and workshops may be refundable if cancellation occurs within the timeframe specified in your registration agreement.

3. Refund Eligibility

3.1 Subscription Services

For monthly or annual subscription services:

• Trial Period: If we offer a free trial period, you may cancel during the trial without charge.
• Monthly Subscriptions: You may cancel your subscription at any time. Cancellation will be effective at the end of the current billing cycle. No refunds will be issued for partial months.
• Annual Subscriptions: Annual subscriptions may be eligible for a pro-rata refund if cancelled within 30 days of initial purchase, minus any usage fees and a 15% administrative fee.

3.2 Custom Development Projects

Refunds for custom development projects are subject to the following conditions:

• Milestone-Based: Payments made for completed milestones are non-refundable.
• Work in Progress: For work in progress, refunds will be calculated based on the percentage of work completed, as determined by us in good faith.
• Project Cancellation: If you cancel a project before completion, you will be charged for all work completed up to the cancellation date, plus any non-recoverable expenses incurred.

3.3 Consulting Services

Consulting services are generally non-refundable once rendered. However:

• Prepaid consulting hours may be refunded if cancellation occurs before any consulting services have been provided.
• Cancellations made less than 48 hours before a scheduled consulting session may be subject to a cancellation fee of up to 50% of the session cost.

3.4 Training and Workshops

Training sessions and workshops follow this refund schedule:

• More than 14 days before: Full refund minus a 10% administrative fee
• 7-14 days before: 50% refund
• Less than 7 days before: No refund, but you may transfer your registration to another participant or reschedule to a future session (subject to availability)

4. Non-Refundable Services

The following services and products are non-refundable:

• Completed custom development work or delivered project milestones
• Consulting services that have already been rendered
• Third-party software licenses or services purchased on your behalf
• Deployment, hosting, or infrastructure costs already incurred
• Training sessions or workshops that have already occurred
• Services or products that have been fully delivered and accepted
• Discounted or promotional services (unless otherwise stated)

5. How to Request a Refund

To request a refund, please follow these steps:

1. Contact Us: Send an email to info@chhajed.ai with "Refund Request" in the subject line.
2. Provide Details: Include your name, contact information, order or invoice number, service description, reason for refund request, and any supporting documentation.
3. Review Period: We will review your refund request within 5-7 business days and notify you of our decision.
4. Approval: If your refund is approved, it will be processed within 10-14 business days.
5. Processing Time: Refunds will be issued to the original payment method. Please allow 5-10 business days for the refund to appear in your account, depending on your financial institution.

6. Refund Processing

Once your refund request is approved:

• Payment Method: Refunds will be issued to the original payment method used for the purchase.
• Processing Time: Refunds typically take 10-14 business days to process from the date of approval.
• Bank Processing: After we process your refund, it may take an additional 5-10 business days for the funds to appear in your account, depending on your bank or credit card company.
• Notification: You will receive an email confirmation once your refund has been processed.

7. Service Termination by Chhajed.ai

We reserve the right to terminate services or subscriptions at our discretion for reasons including, but not limited to, violation of our Terms of Service, fraudulent activity, or abuse of our services. In such cases:

• If we terminate a subscription service for reasons other than your breach of our terms, you may be eligible for a pro-rata refund for the unused portion of your subscription.
• If termination is due to your breach of our Terms of Service, no refund will be provided.

8. Chargebacks and Disputes

We encourage you to contact us directly to resolve any billing issues or disputes before initiating a chargeback with your financial institution. Initiating a chargeback:

• May result in immediate suspension or termination of your services
• Could incur additional fees to cover chargeback processing costs
• May affect your ability to use our services in the future

9. Exceptions and Special Circumstances

We understand that exceptional circumstances may arise. If you believe you have a valid reason for a refund that falls outside the scope of this policy, please contact us to discuss your situation. We will consider refund requests on a case-by-case basis for:

• Technical issues or service outages caused by us that significantly impacted your ability to use our services
• Billing errors or duplicate charges
• Medical emergencies or other extenuating circumstances (documentation may be required)
